What Happens After a New Title is Produced (Before the Buyer Receives It)?

When the lands registry finishes preparing a new title deed, it does not go straight to the buyer immediately. It passes through several final steps:

  1. Internal Registry Verification (Quality Check)

The registrar’s office verifies that: the correct owner’s name appears, all documents match, the parcel number is correct, all fees were paid, no pending cautions, restrictions or errors.

This prevents mistakes like, wrong names or wrong acreage.

  1. Signing by the Land Registrar

Title deed must be officially signed and sealed by the land registrar.

This can take time since registrar signs in batches.

  1. The Title Deed is Entered into the Registry System

The new title number is entered into: The title register, The green card, The day Book.

This creates the official “birth record” of the new title.

  1. The Title Deed is Filed for Collection

Once fully processed, the registry places the title in a “ready for collection” file, waiting for the owner or their representative to come and collect.

  1. The Buyer (Surveyor/Lawyer/ Agent) Signs to Collect

Before receiving the title, the buyer or authorized person must: present ID, present the stamped transfer documents, sign the registry’s collection book as proof.

No one can collect the title deed without an official identification.

  1. Final Handover

The registry hands over the physical title deed to the buyer or the buyer’s representative.
